A paperless operations layer that scales with the business

The opportunity

A bookstore that can't scale its operations can't open a second location. When we opened All My Friends Books in 2024, we made a deliberate decision: staff would not touch paper for their work (except for the books). Every operation would have a digital tool. When the tool didn't exist, we would build it.

This was a scalability choice as much as an efficiency choice. Paper-based processes trap expertise in individuals and locations. Digital tools move with the business.

What we built

The operations layer covers consignment partner management, tracking inventory, sales, and payments across consignment vendors with reporting that replaces manual spreadsheets. Subscription fulfillment tracking keeps the book subscription program running without manual coordination. Inventory and purchasing tools support daily operations for both locations.

Automated daily reports deliver sales KPIs, customer loyalty signals, and inventory alerts to the owner every morning. QuickBooks integration eliminates manual accounting data entry. Email capture and customer update automation runs in the background.

The outcome

Staff have been paperless since opening day. The operations layer is the reason we can open a second location twelve months after the first. The systems, not just the idea, are built to scale.

Second location opens in Skaneateles, NY in July 2026.
